Congratulations on being selected as a speaker for the 5th Annual Thoracic Anesthesia Symposium! In preparation for the Symposium, please use this page to help guide you along the way. We will continue to update and maintain this resource page with details, dates, times, and information pertinent to speakers; check back here often. We hope this information will help make your Thoracic Anesthesia Symposium experience an enjoyable and successful one.

Speaker Registration

All speakers need to register for the Annual Meeting. Your presenter information email letter indicates if SCA is providing complimentary registration or if you are required to cover the cost of registration fees.

Online registration is now closed. Please call SCA Member Services at (855) 658-2828 to register via phone or download a registration form and fax it to (847) 375-6364 before March 30 to pre-register for the conference. After March 30, please visit the on-site registration desk at the Manchester Grand Hyatt.


Housing and Travel Information

Housing:

Your presenter confirmation email letter indicates if SCA is providing you with a complimentary hotel room, or if you are responsible for covering your own hotel charges. Please contact the hotel directly to make your reservation.

The SCA room block has been filled, but the Manchester Grand Hyatt still has availability at a higher rate. Please continue to check the group link below, as some rooms will open up leading up to the meeting.

When prompted to select your guest type, please choose "Attendee" - no access code is needed to make an online reservation in the SCA room block.

The two closest hotels are the Marriott Marquis San Diego Marina and Embassy Suites San Diego Bay Downtown. There are additional hotels in the Gaslamp Quarter, which is about a 10 minute walk from the Grand Hyatt.

Presentation Deadline, Guidelines, and Suggestions

All speakers are expected to contribute to the Online Syllabus that is available to all registered Thoracis Anesthesia Symposium attendees. Each session may have a maximum of two handouts, including the PPT presentation slides, available for attendees. Our attendees will benefit greatly from your presentation material. Getting your material in on time will help us create a more meaningful learning experience, assist attendees in comprehending all the available material at our education event, and provide a great reference tool. Presenters benefit by providing their audience with a visual aid so attendees can focus more on the content and less on copying slides. A copy of your materials must be uploaded to the Planstone system by February 19, 2016. Please contact info@scahq.org if you are unable to meet this deadline.

Speakers must submit one of the following items as one of their handouts:

  • A PDF of their Powerpoint presentation
  • A 1 - 5 page abstract written about their presentation. This must be an original document that has not been written by anyone else or published elsewhere.

Presentation Guidelines:

  • Business casual is appropriate for all educational sessions. Professional demeanor, in both speech and attire, is expected at all time during the conference.
  • Speakers may use the SCA Cover Slide and Template for their Title Slide and Disclosures.
  • Speakers must declare any conflicts of interest or financial affiliations on a slide in the presentation.
  • Any graphic included in the presentation (i.e. charts, graphs, etc.) should be embedded in the PowerPoint file to minimize the file size.
  • Create slides to highlight your presentation, not to duplicate exactly what you will say.
  • All presentations must be of educational nature, and may not be used to promote products or services.
  • Any additional handouts (i.e. case studies, journal articles, etc.) are the speaker's responsibility to print and distribute to attendees.
  • It is recommended that you include your contact information on the last slide of your presentation for attendees to contact you with follow-up questions.
  • Make good use of color contrast. If your PowerPoint Presentation will also be your handout, your background should be light and text should be dark.
  • Rehearse your presentation. SCA's Speaker Ready Room is available for this purpose. The Speaker Ready Room can be found on-site at the Manchester Grand Hyatt Hotel on level 2 in Show Office 5.

Presentation Suggestions:

  • Speakers are encouraged to review the SCA Speaker Handbook in preparation for their session. The Speaker Handbook can be found by clicking HERE.
  • Limit the information on a single slide.
  • Use a larger font size - remember, those sitting in the back of the room should still be able to read your slide.
  • Please keep in mind that the number of session attendees could range between 75 and 250 people.
  • Be consistent in presenting information in an organized, logical manner.
  • Do not use more than four colors in your presentation. Avoid red letters, which are difficult for some people to read. The best readability comes from high contrast of intensity rather than by clashes of color.


Abstract and Poster Presenter Information

The Primary Author designated in the abstract submission is expected to present the abstract at TAS and pay the attendee registration fee. If the Primary Author is unable to present at TAS, you MUST send an email to info@scahq.org providing the name and email address of the replacement abstract presenter prior to the meeting. Unless otherwise notified in the aforementioned procedure, only the Primary Author will be allowed to present the abstract at TAS. 

Cancellation Policy: In the case the abstract presentation must be cancelled in its entirety due to an unforeseen emergency, an email sent to info@scahq.org explaining the situation in appropriate and sufficient detail is required.

Please note: Primary Authors who fail to provide notice to the SCA review committee members may be prohibited from presenting another abstract as the Primary Author at subsequent Meetings.

TAS Poster Presentations:
  • Log in using the credentials you created to submit your initial proposals. If you cannot remember your username and password, please click 'Forgot Your Password' on the left toolbar of the proposal submission site.
  • Once logged in the Speaker Information Center, complete the following items:
    • Willingness to Participate
    • Speaker Agreement Form
    • Disclosure Form
    • Bio Form
  • Please read through each of the sections and answer the questions in their entirety.
  • ALL AUTHORS must submit disclosures within 30 days of submission. If any Primary or Co-Author are missing disclosures, the abstract will not be reviewed.
  • After all questions have been answered, ensure that you click 'Finish' on the lower right hand corner to save your answers. That's it!

Poster set-up time begins on April 1, 2016 at 7:00 am.


Abstract poster presenters are expected to present their poster during the designated time their abstract is assigned in the TAS Program. This information was also sent to you in an email in March 2016.

Posters must be removed following your presentation to allow time for abstract poster presenters for the following session to set up their materials. Any posters remaining can be found near the registration desk until April 6, 2016 at 11:00 am.

The poster boards on site will be double-sided display boards. Your assigned poster number provided in your notification email will be in the upper right hand corner of the poster display board. The poster display board surface is approximately 4-feet high by 8-feet wide. It is recommended to prepare an abstract title label with lettering at least 1'' in height to post at the top of your display space. A large-font typed copy of your abstract should be posted in the upper left-hand corner of the poster display board. Illustrations should be printed and made before the conference. Keep in mind illustrations and print will be viewed from a distance of 3-feet or more. Charts, drawings, and graphs should be designed as if presented on PowerPoint slides; simple and bold. Use just a few primary colors to draw emphasis effectively. Remember: readability is key! Avoid mounting your abstract on heavy presentation boards; it will be difficult to display on the display board. Bring a box of thumbtacks with you to mount your abstract presentation on the display board. You may not write or mark on the display boards.


TAS Top Abstracts and Difficult Cases: 


All Difficult Presenters MUST complete the Speaker Disclosure Form to present their abstract at the Symposium.
  • Visit the Speaker Information Center.
  • Log in using the credentials you created to submit your initial proposal. If you cannot remember your username and password, please click 'Forgot Your Password' on the left toolbar of the proposal submission site.
  • Once logged in the Speaker Information Center, complete the following items:
    • Willingness to Participate
    • Speaker Agreement Form
    • Disclosure Form
    • Bio Form
  • Please read though each of the sections and answer the questions in their entirety.
  • ALL AUTHORS must submit disclosures within 30 days of submission. If any Primary or Co-Author are missing disclosures, the abstract will not be reviewed.
  • After all questions have been answered, ensure that you click 'Finish' on the lower right hand corner to save your answers. That's it!

TAS Top Abstracts and Difficult Cases will be presented on April 1, 2016, 11:45 am.


Each presenter will have exactly 15-minutes to present. Please use the preferred SCA PowerPoint template that will be available shortly.



Audio/Visual

The session rooms will be set with the following equipment:
  • 1 LCD Projector
  • 1 Laptop Computer
  • 1 Screen
  • 1 Podium Microphone
Should your presentation require hardware other that what is noted above, please provide SCA Headquarters with a list of your specifications by February 15, 2016 by emailing info@scahq.org. Special A/V requests cannot be accommodated on site.

SCA cannot guarantee A/V requests and will not accept any requests or changes made during the conference.



Room Assignments

Room sizes range from approximately 75-900 people each. Room assignments will be made available soon. Please check back for more details in February 2016. Room assignments will also be printed in the onsite guide available with your speaker registration packet.

All educational sessions will be held at the Manchester Grand Hyatt.



Upon Arriving at the Annual Meeting in San Diego, CA

Check-In at Registration:

All speakers MUST check in at the Registration Area prior to your presentation; SCA staff will have your name badge and other relevant registration materials.


Registration will be located in Grand BCD Foyer during the following hours:

  • Thursday, March 31: 5:00 - 7:00 pm
  • Friday, April 1: 6:30 am - 7:00 pm
  • Saturday, April 2: 7:00 am - 5:30 pm

All speakers MUST upload their presentation in the Speaker Ready Room one day prior to their presentation.

Please contact SCA Headquarters at
info@scahq.org if you are unable to upload your presentation 24 hours before your scheduled session.

Session Arrival:

Arrive at your designated session room at least 15-minutes prior to your session starting time.

  • Be sure to bring an additional copy of your presentation.
