Congratulations on being selected as a speaker for the 38th SCA Annual Meeting and Workshops in San Diego! In preparing for the Annual Meeting, please use this page to help guide you along the way. We will continue to update and maintain this resource page with details, dates, times, and information pertinent to Annual Meeting speakers; check back here often. We hope this information will help make your conference experience an enjoyable and successful one.

Speaker Registration


All speakers need to register for the Annual Meeting. Your presenter information email letter indicates if SCA is providing complimentary registrations or if you are required to cover the cost of registration fees.

Online registration is now closed. Please call SCA Member Services at (855) 658-2828 to register via phone or download a registration form and fax it to (847) 375-6364 before March 30 to pre-register for the conference. After March 30, please visit the on-site registration desk at the Manchester Grand Hyatt.

Your presenter confirmation email letter indicates if SCA is providing you with a complimentary hotel room, or if you are responsible for covering your own hotel charges. 
Contact the Manchester Grand Hyatt San Diego directly to make your hotel reservations.

The SCA room block has been filled, but the Manchester Grand Hyatt still has availability at a higher rate. Please continue to check the group link below, as some rooms will open up leading up to the meeting.

Online Hotel Reservations

When prompted to select your guest type, please choose "Attendee" - no access code is needed to make an online reservation in the SCA room block.

The two closest hotels are the Marriott Marquis San Diego Marina and Embassy Suites San Diego Bay Downtown. There are additional hotels in the Gaslamp Quarter, which is about a 10 minute walk from the Grand Hyatt.

Don't forget about the April 1st Thoracic Anesthesia Symposium when making your hotel and travel arrangements!


Travel:

Your presenter confirmation email letter indicates if SCA is providing you with travel reimbursement, or if you are responsible for covering your own travel costs.Travel accommodations (air/train/bus) must be booked at least 21 days in advance of your departure. If you cannot book within 21 days in advance, please contact SCA staff for approval.

By Air:

The nearest airport is
San Diego International Airport (SAN). It is efficient and easy to use, offering several airlines (more than a million seats each month) and competitive fares.

United is offering special discounts for meeting attendees.

Make your visit to San Diego a road trip! Onsite parking is available.

The Manchester Grand Hyatt provides convenient on-site self parking and valet parking for overnight guest and non-guest.

Presentation Deadline, Guidelines, and Suggestions

All speakers are expected to contribute to the Online Syllabus that is available to all registered Annual Meeting attendees. Each session may have a maximum of two handouts, including the PPT presentation slides, available for attendees. Our attendees will benefit greatly from your presentation material. Getting your material in on time will help us create a more meaningful learning experience, assist attendees in comprehending all the available material at our education event, and provide a great reference tool. Presenters benefit by providing their audience with a visual aid so attendees can focus more on the content and less on copying slides. A copy of your materials must be uploaded into the Planstone system by February 19, 2016. Please contact info@scahq.org if you are unable to meet this deadline.


Speakers must submit one of the following items as one of their handouts:

  • A PDF of their Powerpoint presentation
  • A 1 - 5 page abstract written about their presentation. This must be an original document that has not been written by anyone else or published elsewhere.

Presentation Guidelines:

  • Business attire is appropriate for all educational sessions. Professional demeanor, in both speech and attire, is expected at all times during the conference.
  • Speakers may use the SCA Cover Slide and Template for their Title Slide and Disclosures.
  • Speakers must declare any conflicts of interest or financial affiliations on a slide in the presentation.
  • Any graphic included in the presentation (i.e. media and video) should be embedded in the Presentation file to minimize the file size.
  • Create slides to highlight your presentation, not to duplicate exactly what you will say.
  • All presentations must be of educational nature, and may not be used to promote products or services.
  • Any additional handouts (i.e. case studies, journal articles, etc.) are the speaker's responsibility to print and distribute to attendees.
  • It is recommended that you include your contact information on the last slide of your presentation for attendees to contact you with follow-up questions.
  • Make good use of color contrast.
  • Rehearse your presentation. SCA's Speaker Ready Room is available for this purpose. The Speaker Ready Room can be found on-site at the Manchester Hyatt on level 2 in Show Office 5.

Presentation Suggestions:

  • Speakers are encouraged to review the SCA Speaker Handbook in preparation for their session. The Speaker Handbook can be found by clicking here.
  • Limit the information on a single slide.
  • Use a 24 point font as your minimum size - remember, those sitting in the back of the room should still be able to read your slide.
  • Please keep in mind that the number of session attendees could range between 75 and 250 people.
  • Be consistent in presenting information in an organized, logical manner.
  • Do not use more than four colors in your presentation. Avoid red letters, which are difficult for some people to read. The best readability comes from high contrast of intensity rather than by clashes of color.


Audio/Visual

The session rooms will be set with the following equipment:
  • 1 LCD Projector
  • 1 Laptop Computer
  • 1 Screen
  • 1 Podium Microphone
Should your presentation require hardware other than what is noted above, please provide SCA Headquarters with a list of your specifications by February 15, 2016 by emailing info@scahq.org. Please use your cursor on the screen to point out information to attendees; do NOT use a laser pointer as attendees in the room may not be able to see the screen. Special A/V requests cannot be accommodated on site.

SCA cannot guarantee A/V requests and will not accept any requests or changes made during the conference.


Room Assignments

Room sizes range from approximately 75-900 people each. Room assignments will be made available soon. Please check back for more details in February 2016. Room assignments will also be printed in the onsite guide available with your speaker registration packet.

All educational sessions will be held at the Manchester Grand Hyatt.


Upon Arriving at the Annual Meeting in San Diego, CA

Check-In at Registration:

All speakers MUST check in at the Registration Desk prior to your presentation; SCA staff will have your name badge and other relevant registration materials.

Registration will be located in Grand BCD Foyer during the following hours:
  • Thursday, March 31: 5:00 - 7:00 pm
  • Friday, April 1: 6:30 am - 7:00 pm
  • Saturday, April 2: 7:00 am - 5:30 pm
  • Sunday, April 3: 6:15 am - 5:30 pm
  • Monday, April 4: 6:15 am - 5:30 pm
  • Tuesday, April 5: 6:15 am - 5:30 pm
  • Wednesday, April 6: 6:15 - 11:00 am

 All speakers MUST upload their presentation in the
Speaker Ready Room one day prior to their presentation.

Please contact SCA Headquarters at info@scahq.org is you are unable to upload your presentation 24 hours before your scheduled session.

Some sessions will be recorded at the conference for the Annual Meeting OnDemand product unless you opt out in the speaker portal.


Session Arrival:

Arrive at your designated session room at least 15-minutes prior to your session starting time.
  • Be sure to bring an additional copy of your presentation.


Help Us Spread the Word!

As an SCA Annual Meeting presenter, you can help spread the word about this event. Reach out to your industry community of colleagues, co-workers, and friends to share your presentation plans!

To add the banner into your e-mail signature or blog, simply copy and paste the graphic below into your editable signature or Web page. Please note: Most e-mail tools allow you to edit your signature settings, in which case, you would "insert" the image. If you have any questions, please contact SCA Headquarters at info@scahq.org.

If you use Outlook, please follow the following steps to add the banner:
  1. Go to Tool > Options > Mail Format
  2. Click on Signature
  3. To edit your current signature, click Edit then copy and paste the banner provided below into the text box
  4. Hit OK
